Event planning toolkit

The Canyon Lake POA fosters and promotes celebrations throughout the community. However, as with any organization, we must ensure events held at our facilities follow ordinances set in place by other authoritative agencies such as the City of Canyon Lake, Riverside County Health Department, and Alcoholic Beverage Control (ABC), to name a few. To help members, clubs, and sponsored organizations navigate through the process of planning an event, we created this online event planning toolkit with step-by-step instructions for planning your event and links to important forms and agencies. 

Scheduling Policy

Each member, club, group, or sponsored organization may schedule one facility or common area up to two times per month for functions and events. Reservation requests may not be submitted for any Canyon Lake POA recognized holidays. 

  • Canyon Lake POA Members
    Canyon Lake POA members may schedule a private event one year from date of their event.
  • Canyon Lake POA Sanctioned Clubs
    Annual calendar scheduling of sanctioned club functions and events begins the first Friday of September, for the following calendar year.
  • Canyon Lake POA Activity Groups
    Annual calendar scheduling of activity group functions begins January 1 of the current calendar year.

Canyon Lake Country Club

Who Can Make Reservations: Members, Sanctioned Clubs and Activity Groups
Who Takes Reservations: Country Club Bar & Grill

The Canyon Lake Country Club offers a beautiful setting for any event. The Country Club’s dining room and outdoor patio can be closed off for an event or you can reserve the Magnolia Room located on the lower level of the facility.

 


 

Canyon Lake Lodge

Who Can Make Reservations: Members, Sanctioned Clubs and Activity Groups
Who Takes Reservations: Lighthouse Restaurant & Bar

The Canyon Lake Lodge is a beautiful venue tucked away inside Canyon Lake. The facility offers breathtaking views of the lake and a large lawn that overlooks the lake. Indoors, the Lodge has multiple banquet rooms for any size reception. The Lodge also features in-house catering from the Lighthouse Restaurant & Bar, dressing rooms, a stage, and a dance floor.

Canyon Lake has five beach-side parks with reservable areas.

 


Canyon Lake Senior Center

The Senior Center is a multipurpose facility located near the main entrance of the community (off Railroad Canyon Road). It is an inviting environment for Canyon Lake residents to make friends and participate in weekly activities.

 


Gault Field

Who Can Make Reservations: Members, Sanctioned Clubs and Activity Groups playing softball or baseball
Who Takes Reservations: Activities Department

Gault Field, home to four outdoor ball fields that provide endless enjoyment to players of all ages. Located on over 5 acres, Gault Field features adult, little league, and tee-ball fields. The fields and parking lot are lighted, there is shaded seating, restrooms, and drinking fountains.

Once you have selected your venue, you will need to contact the appropriate department to confirm availability to reserve the venue. 

Activities Department

Members interested in making a reservation at a park or any clubs/activity groups should contact the Activities department  to confirm availability and reserve the venue. Our Activities department will request the following information:

  • Facility Reservation Form
    Our Activities department  will require a completed Facility Reservation Form to reserve a venue/facility.
     
  • Pay facility reservation fee to the Canyon Lake POA, if applicable.

Canyon Lake Lodge

Step #3: Get Permits

Step #3: Get Permits/Insurance

Once your reservation is confirmed with the Canyon Lake POA you may need the following permits: 

  • City of Canyon Lake Special Event Permit
    Application Timeline: Minimum 30 days in advance of Event
    Events with over 50 people must obtain a Special Event Permit from the City of Canyon Lake. The City of Canyon Lake has requirements for a permit for all gatherings of 50 or more individuals. The application must be completed one month before an event is planned. 
     
  • Alcohol Beverage Control (ABC) Permit
    Application Timeline: Minimum 30 Days in advance of event
    If there will be alcohol sold at your event you must obtain an ABC permit and only a 501(c)(3) non-profit organization can obtain a Daily License.
     
  • Health Permits
    Application Timeline: Minimum 30 Days in advance of event
    If there will be vendors on-site selling food you must obtain a health permit with the Riverside County and the vendors must also have a health permit with the Riverside County.
     
  • Special Event Insurance
    Application Timeline: Minimum 30 Days in advance of event

  • Vendor Insurance
    Application Timeline: Minimum 30 Days in advance of event
    All vendors must add the Canyon Lake POA as an additional insured. Certificate of Insurance must be submitted to the Activities department. 

Step #4: Provide Event Details

Once your reservation is confirmed with the Activities department and you have obtained all of your necessary permits you will need to provide the Activities department with:  

  • Final Event Layout
    Timeline: 15 days in advance of event
    Final event layout must be provided to the Activities department 15 days in advance of the event. Community and/or club events may require event support staff. Event support staff is determined by the Canyon Lake POA. 
    Set Up & Break Down Event Staff Rate: $50 per person, per hour
    Community Patrol Event Staff Rate: $37.50 per person per hour
    Marine Patrol Event Support: $37.50 per person per hour 

  • Submit Event Details For Promotions
    Timeline: 30 days to 90 days in advance of event
    Clubs/organizations planning a community event may submit event details to the Canyon Lake POA's Communications group for promotions by completing the Community Event Support Request Form
     
  • Vendor Insurance
    Timeline: 15 days in advance of event
    All vendors must add the Canyon Lake POA as an additional insured. Certificate of Insurance must be submitted to the Activities department.
     
  • Copy of All Permits
    Timeline: 15 days in advance of event
     
  • Pay Final Event Related Fees 
    Timeline: 15 days in advance
    All event related fees must be paid 15 days in advance of event.
